How to Duplicate a Sample (End or Heel)

Some item numbers require extra samples to be analyzed for Quality Assurance purpose.  The data from these samples is not included on the product CoA, but it's used to ensure no contamination occurred in the batch during manufacturing.

Example of these samples include: an "End" and a "Heel" sample.

The "End" sample is taken any time a kettle is entirely cast (more then 3/4 empty) or in a larger kettle when a mixer or pump is replaced.  One lot number might have multiple "End" samples

The "Heel" is the lowest point at the bottom of the pot, the very last sample to come out.

This tutorial will cover how to duplicate the original QC sample sent from the ERP system into an "End" or a "Heel" sample.  Not all items require these type of samples.

1. Locate the Original Sample Created by JDE

WinLIMS - browse Samples (Home>Sample Life Cycle) - Mozilla Firefox
  1. In the "Browse samples" page use the smart search or type in Lot number into the "Lot #" field.
  2. Click binoculars to execute search

There are multiple other way to search for a particular sample, for example using favorite query or navigating to "manage Sample" page this is a description of one approach.

2. Open the Original Sample (Drill Down)

WinLIMS - browse Samples (Home>Sample Life Cycle) - Mozilla Firefox
  1. Click the check box next to sample ID
  2. Click magnifying glass to Drill Down or Open the sample manager page

You can also click on the Blue "Sample ID" value itself to open the sample.  This only works when opening a single sample.

3. Duplicate Original Sample

WinLIMS - manage Samples (Home>Sample Life Cycle) - Mozilla Firefox
  1. Click on the duplicate button
  2. Click on the radio button next to "Create Duplicate Sample" option from the list
  3. Click "OK"

4. New Sample

WinLIMS - manage Samples (Home>Sample Life Cycle) - Mozilla Firefox
WinLIMS - manage Samples (Home>Sample Life Cycle) - Mozilla Firefox
WinLIMS - manage Samples (Home>Sample Life Cycle) - Mozilla Firefox
  1. Page will automatically refresh to the new sample
  2. Expand the "Sample Descriptive" Section
  3. Type "End" or "Heel" into the "Pail#/Pseudo" text box
  4. Either click on the save button or move off the "Pail/Pseudo" text box to have the value save (as you move your cursor off the cell you will see a small green circle with a check mark inside appear indicating that data has been saved.)

This sample can be received into LIMS in the same way as other sample by following tutorial "How to Receive Sample(s) Into LIMS and Print a Label/QC Report".  When printing a label for the End/Heel sample Lot number on the label will contain a "E" or "H" at the end of the number to distinguish visually on the analytical instrument between an "End" a "Heel" and QC sample.
