How to Capture Analytical Results for Reworked Samples

When a batch does not pass final or in-process QC requirements and can be adjusted to meet those specification requirements, LIMS samples must resemble what happens in the process.  This means LIMS must have a first sample which captures an out of specification parameters/tests and be assigned final status of Rw (rework).  Some sites do not distinguish between Rj and Rw within LIMS and use a final status F (fail) .  When a sample cannot be adjusted a final status of Rj (rejected) should be used.

Then after the adjustment is made a duplicated sample is created in LIMS to capture results for adjusted batch.  This tutorial will explain how to properly create a LIMS record for a sample representing the batch after an adjustment.

  1. Click on the duplicate button
  2. Choose appropriate option by selecting necessary radio box.
    • Duplicate Sample with Current Tests: This option will duplicate your sample with all the test that have been added to it.
    • Duplicate Multiple Samples with Current Tests - Not Applicable
    • Create a Duplicate Sample: This option will duplicate your sample with all the test which are included in original item set-up, so if any tests have been added ah hoc do not use this option.
    • Create Duplicate Sample with Results: This option will not only duplicate the sample and the tests included in item set-up but also copy all the results.  Further option in this choice will allow you not to duplicate the failed results so you can put in a re-tested value.
    • Create Regrade Sample - Not Applicable
    • Create Package Sample - Not Applicable
    • Create Shipment Sample - Not Applicable
    • Create Pseudo Sample - Not Applicable
    • Copy Results From Existing Sample - Not Applicable

1.1. Duplicate Sample With Current Test

  3. Screen will refresh to duplicated sample
  4. Expand "Sample Results" section
  5. Enter Results
  6. Proceed with Approval

The difference between option 1.1 and 1.2:

1.1: When users add ad hoc tests to the sample which are not part of the sampletype set-up these tests are also duplicated to the new sample

1.2: When users add ad hoc tests to the sample which are not part of the sampletype set-up these tests will not be duplicated, only the tests which are part of the sampletype set-up will be duplicated.  

When a facility does not use the option to add tests "ad hoc" the two options are identical.

  1. Click radio box on "Create Duplicate Sample"
  2. Click "OK"
  3. Screen will refresh to a new screen where you can choose which results should be duplicated.  LIMS automatically picks all the passing results to be duplicated and failed results not to be duplicated.  This is helpful in situations where the adjusted batch sample does not need to be tested for all parameters but only for the parameter which failed in the original sample
  4. Select the parameter you would like to move
  5. Use the > or >> buttons to add parameters to be duplicated
  6. Use the < or << buttons to remove parameters to be duplicated
  7. Click Save button after making your choices
  8. Screen will refresh to duplicated sample
  9. Expand "Sample Results" section (you will see results duplicated from the original sample)
  10. Enter Results
  11. Proceed with Approval

2. How to Navigate to Original Sample From Duplicated Sample

  1. Expand the "Sample Descriptive"
  2. Expand "Audit Info"
  3. Click Navigation button next to "Source Sample" text box

3. Orders View

This is a useful place to see how all the samples for the same lot group together.  When you have one or more retests or adjustments you should see all the samples nicely organized in the Orders screen.
