How to Modify Distribution List for a Company Profile
Distribution list is set up on a company profile. When a profile is referenced by defining customer # in sample or order record the distribution list is copied to each sample. When a sample is approved, email is sent to the contacts in the distribution list with Analytical Report attachment.
Modifying Company Profile distribution list does not automatically update all the existing samples in the system that reference this profile. The changes will come into effect for any new samples logged after the modification is completed.
1. Find Customer Profile
Follow steps described in the "How to Search in Customer Manager" tutorial to search and drill down into the necessary customer profile.
2. Add New Contact to the Distribution List
Minimum requirement for a new contact is an email address
- Expand the "Address Contacts" section
- Press "Add New" button
- New row will appear with address information copied over from company profile
- Type in Contact Name (When available)
- Type in Email address (Minimum requirement)
- Type in Phone Number (When available)
- Save record
3. Remove Existing Contact from a Distribution List - Deactivate
When a contact is still affiliated with the company but no longer needs to received analytical reports, record should be deactivated.
- Uncheck the "Active" check box
- Save changes
4. Remove Existing Contact from a Distribution List - Delete
When a contact is no longer affiliated with the company, record should be deleted.
- Expand "Address Contacts" section
- Click on the checkbox next to the contact you wish to delete
- Click on the delete button
5. Modify Existing Contact in a Distribution List
You can modify any cells in the "Address Contacts" grid by typing new values into the cells directly. The row to which changes are made will be selected and highlighted in yellow.
Make sure to save all changes by pressing the save button
