How to Receive Sample(s) Into LIMS and Print a Label/QC Report
For LIMS sites that utilize Work Order import interface from ERP system, receiving samples into LIMS can ensure accurate tracking of sample analysis "Turn Around Time" (TAT). A Work Order record is imported from the ERP system at a time when it's printed from ERP, this does not coincide with when an actual physical sample associated with that record arrives in the lab. It usually takes between 1 and 7 business days for a physical sample to be delivered to the lab. This tutorial will not only explain how to receive a sample into LIMS but also how to initiate an event that results in printing out a sample label or sample "Internal QC Report"
1. Navigate to Browse Samples Page
- Click on "Main Menu" button
- Click on "Sample Life Cycle"
- Click on "browse Samples"
2. Sample Receipt Using a Bar code Scanner
For sites which have a Lot number bar code on the Work Order documents, it is possible to receive a sample utilizing a bar code scanner. For this to work you must have a bar code scanner attached to the PC and necessary drivers installed.
- Put your cursor into the "Lot #:" text box located in the controls area of the screen
- Scan the lot# bar code off the Work Order
- Lot # will populate in the text box
- Press "Enter" on your keyboard
- Brief message will show next to the Lot# field confirming successful receipt of the Sample.
- The list view will also find the sample which was just received into LIMS with status "P".
3. Identify Sample to Receive Using a Favorite Query
Favorite queries are site specific and can be created depending on sites needs. Contact your LIMS administrator to create these for your site. For sample receipt process any of the "JDE Import ....." type of queries will work, because they will return all samples in "N" status.
- Click on the Start Icon to open a list of favorite queries
- Click on the favorite query to execute search
- Click on the check box next to the Sample ID of the lot(s) that needs to be received (select multiple samples, if you need to do this to more then one sample)
- Click the magnifying glass to drill into the manage samples page
4. Receive Sample into LIMS
In order to print a label or Internal Quality Report at receipt step you must click the receipt button from the "Manage Samples" page
- Click on the Check Mark button to mark sample as "received"
- Sample will refresh to "N" status and populate fields "Entered By" and "Entered On" fields. At this time you should have the label or the internal QC report printing out.
- If applicable use the scrolling arrows on the top to navigate to the next sample and perform steps 1 and 2 for the next sample.
