How to Create New User Account

This tutorial will cover how to create a new user account in LIMS.  User account creation is limited to LIMS administrators in each region.  Accounts should be created after a request is made in Service Now, or a request from the users supervisor.  The requester must be able to define what LIMS access level is required for their job (this will help to assign roles in Step #5).

  1. Click to open Main Menu
  2. Click on "Administration"
  3. Click on "Users"

2. New User Wizard

  1. Locate the "New User Wizard" on the right side of the screen
  2. Fill in Full Name of the new user
  3. Fill in Company Name
  4. Click "Next"

3. New User Credentials

  1. User Names in LIMS follow convention of using the first name initial followed by the full last name.  (Ex: Jane Doe user name would be JDoe)
  2. Default password assigned to all new user accounts: #Password
  3. Confirm default password
  4. Enter companies email address, do not use personal emails
  5. Type in Security Question (Example: 2+2=?)
  6. Type in Security Question Answer (Example Answer: 4)
  7. Press button to Create User
  8. Press button to Continue

4. Configure New User Account

  1. Select primary site for the user, by clicking on the appropriate check box.  Users can have access to more than one site when necessary.
  2. Enter the users' full name followed by a comma with their primary site.  (Example Jane Doe, WTG)
  3. Select primary site for the user in field "Current Site"
  4. Select appropriate Connection String
  5. Select appropriate Culture Info
  6. Select appropriate Time Zone (if time zone is assigned incorrectly all the time stamps for that user will be incorrect)
  7. For "Current Site Data Only" option select "True"
  8. Press "Save" button to save settings

5. Set User Account Roles

These are the roles for user accounts. Selecting each role gives user access to various functions/screens in LIMS.  These roles should be assigned with discretion.  Giving unnecessary access to users can results in data being deleted or specification accidentally changed without proper review.

List of roles every user should have:

  • Everyone
  • Users
  • WebService saveData ANYTABLE

List of roles for users who work in the lab and enters analytical data:

  • Assign Lot
  • Everyone
  • LabTechs
  • Users
  • WebService saveData ANYTABLE

List of roles for a lab supervisor who approves samples:

  • Assign Lot
  • Everyone
  • Laboratory Supervisor
  • LabTechs
  • Users
  • WebService saveData ANYTABLE

List of roles for a local LIMS Administrator who is able to create new templates:

  • Administrator
  • Assign Lot
  • Everyone
  • Laboratory Supervisor
  • LabTechs
  • Sample Type Delete
  • Spec Edit Sample
  • Users
  • WebService saveData ANYTABLE

6. Welcome Email

Send the new user a welcome email containing their user credentials and a URL to LIMS.
