How to Create a Pseudo Sample
Pseudo samples have a special function in LIMS to summarize results of multiple samples for one lot. The summary can be an average, or sum and is done based on the common lot number. These type of samples are used to average pail results and show particle analysis on the Powder CoA.
1. Locate the Order Using Powder Lot Number
- Press the Main Menu button
- Click on "Sample Life Cycle"
- Click on "Orders"
- Use either the "Browse Orders" or "Orders QBE" menu item to perform a search. (Tutorial followed "Orders QBE" option)
- Type in Lot Number in the empty text box
- Use binoculars to locate the order
Different search options are covered in more detail in the following tutorials: "How to Search Using QBE" and "How to Search Using Browse" When lot number is known, using Orders QBE will get you to the detail order screen quicker.
2. Verify Analytical Sample is Complete and Approved
Analytical sample results are shown on the CoA, thus it's important that before creating a Pseudo sample an Analytical sample has been completed and approved.
Look at the list of samples attached to the order and locate one with Test Class "Analytical". Verify that status is "A"
3. Identify Most Recent Pail Sample with Correct MFG Date
A Pseudo sample is created from a pail sample and inherits the Manufacturing and Expiration dates of that pail sample. General rules for choosing the pail sample:
- When all pail samples are the same MFG date, then use the most recently imported pail sample to create a Pseudo sample
- When pail samples were imported in the middle of the night, identify what manufacturing date has the most samples, then use the most recently imported pail of that manufacturing date to create a Pseudo sample
See example below...
- Pail samples in the order above were analyzed overnight, so the Manufacturing date for 12 of the samples is 12/20/2018 and for 2 samples is 12/21/2018. Since manufacturing date of 12/20/2018 has the most pail samples, we need to identify the most recently logged sample with manufacturing date of 12/20.
- Pail 12, was the last sample logged under the Manufacturing date of 12/20. It should be used as the sample from which the Pseudo sample is created from.
- Select Pail 12 sample
- Press Magnifying glass to drill down into details of that sample
4. Create Pseudo Sample from Pail Sample
- Click on duplicate button
- Select "Create Pseudo Sample"
- Click "OK"
5. Approve Pseudo Sample
- Review the status of Pseudo sample
- Press the Thumbs Up button to approve sample
- Assign the final status (Approved is default selection)
- Press "save" button
- Click binocular button to refresh the sample and see the blue "COA" link
- Click on CoA link to open the PDF copy
Version 8 of LIMS has a different approach to CoA creation. It still uses LIMS events to create the CoA, however now the events are processed on a fixed frequency of time, for example every 2 minutes all the new events are processed. This means the CoA link might take a maximum of 2 minutes to appear.
