How to Receive Sample(s) Into LIMS
For LIMS sites that utilize Work Order import interface from ERP system, receiving samples into LIMS can ensure accurate tracking of sample analysis "Turn Around Time" (TAT). A Work Order record is imported from the ERP system at a time when it's printed from ERP, this does not coincide with when sample actually arrives in the lab. It usually takes anywhere between 1 and 7 days for an imported sample record to be physically received in LIMS and the duration depends on manufacturing schedule.
Some features described in this tutorial are not implemented at all V8 LIMS sites, however can be used as ideas for future improvement.
1. Sample Receipt from Browse Sample Page
1.1. Navigate to Browse Samples Page
- Click on "Main Menu" button
- Click on "Sample Life Cycle"
- Click on "browse Samples"
1.2. Sample Receipt Using a Bar code Scanner
For sites which have a Lot number bar code on the Work Order documents, it is possible to receive a sample utilizing a bar code scanner. For this to work you must have a bar code scanner attached to the PC and necessary drivers installed.
- Put your cursor into the "Lot #:" text box located in the controls area of the screen
- Scan the lot# bar code off the Work Order
- Lot # will populate in the text box
- Press "Enter" on your keyboard
- Brief message will show next to the Lot# field confirming successful receipt of the Sample.
- The list view will also find the sample which was just received into LIMS with status "P".
1.3. Sample Receipt Using a Favorite Query and Check Mark Icon
Favorite queries are site specific and can be created depending on site needs. Contact your LIMS administrator to create these for your site. For sample receipt process any of the "JDE Import ....." type of queries will work, because they will return all samples in "N" status.
- Click on the Start Icon to open a list of favorite queries
- Click on the favorite query to execute search
- Click on the check box next to the Sample ID of the lot that needs to be received
- Click the Check Mark icon
2. Sample Receipt from Manage Samples Page
In order to print a label or Internal Quality Report at receipt step you must click the receipt button from the "Manage Samples" page
2.1. Navigate to Manage Samples
- Click on "Main Menu" button
- Click on "Sample Life Cycle"
- Click on "manage Samples"
