QC TAT Tracking with LIMS

When utilized correctly, LIMS has the ability to provide many different metrics with minimum set-up and effort.  This tutorial will explain the set-up in LIMS to extract the most accurate data for Turn Around Time reports for the analytical laboratory.

QC TAT = Turn Around Time of QC Laboratory = Time it takes QC laboratory to complete analysis of a sample

Process Start = Sample is physically in the laboratory Sample "Ent On" Date

Process End = Sample Analysis is completed by the laboratory

-> For labs where a chemist is able to approve samples, the end date can be Sample Approval Date

-> For labs where a supervisor is require to approve sample the end date should be the maximum "Entered On" date from results section

LIMS Automatic Date Stamps

Using automatic date stamps is convenient and accurate because no extra action is necessary from user and they are not editable by users, giving confidence when auditing or keeping metrics.

  1. Reg On (audit trail): Date showing when a record was imported by JDE interface.  JDE send a record to lims at status 40-50 during printing work order step.
  2. Entered On (audit trail): Date showing when a sample was physically received into the lab.  (Physical receipt, requires extra action by laboratory explained in next steps (Single Sample Receipt Into QC Lab and Group Sample Receipt into QC Lab), otherwise this date will default to when results are logged into LIMS)
  3. App On (audit trail): Date showing when a sample was approved in LIMS
  4. Entered On (Results Section): Date showing when a result was logged for the parameter in that row

JDE Import Samples Status "N"

When JDE Imports data for a sample into LIMS, sample status is "N" and can be searched by using a favorite query "JDE Import - Pending Receipt"

Status is "N" - New

Reg On: date stamp showing when a JDE record has been imported into lims.

Single Samples Receipt Into QC Lab

This should only be done when a sample of the batch is physically received by the QC lab.

  1. Navigate to sample
  2. Click on the checkbox "Rec'd"
  3. Click Save
  4. Status changes from "N" to "P" Pending
  5. Ent On and Ent By will populate

 

Group Sample Receipt Into QC Lab

Use the "JDE Import - Pending Receipt" favorite query to show all samples which have been imported by JDE but not yet received into QC lab in LIMS.

  1. Click on checkbox to select sample lots that have been physically received by QC lab
  2. Click check mark icon to receive

This will change status to "P" and populated Ent On and Ent By Dates within each of the selected samples

Results Entered On Date

  1. Enter Results
  2. Click Save
  3. Results Entered On date is populated for each result entered.

Approved On Date

  1. Click button to approve
  2. Approved on date automatically populated

TAT Calculation Formula

Using Approved On Date for End Date

TAT Calculation computes the difference between two days in hours and subtracts non-working hours and weekend days from total.

#1 Start Date = Sample Received On Date into QC lab = Entered On Date

#2 End Date = Sample Approved On Date

Sample Approved on Date is good to use when a chemist can approve samples themselves.

Using Result Entry Entered On Date for End Date

TAT Calculation computes the difference between two days in hours and subtracts non-working hours and weekend days from total.

#1 Start Date = Sample Received On Date into QC lab = Entered On Date

#2 End Date = Last Result Entered On Date = Entered On Date for Result

Last Result Entered On Date is good to use when laboratory supervisor is the only person who can approve samples.  This is ideal so that QC TAT does not get negatively affected when samples are waiting approval from supervisor.
