ICP-OES Altoona PA - Data Import

There are various sampletypes set-up in LIMS for ICP QC samples including:

  • 1129 NBS
  • 1129 NBS 0.1Au
  • Fernox_HCQC

More Sampletypes will be set-up as necessary.

There are two methods which are currently configured to work with an export process mentioned below (more to be added as needed)

  • PRALLOY
  • FERNOX

Prior to attempting an import of data from ICP to LIMS the associated sampletype in LIMS must be set-up and approved.

1. Export Results from iTEVA Analyst

  1. Locate your sample in the ICP Result search
  2. Click on “Results” menu item
  3. Click on “Export”

2. Identify Export Filename

  1. File name is highlighted as soon as this dialog box shows.  
  2. Carefully place your curser prior to ".txt"
  3. Type in underscore symbol, followed by today's date without any separators, adding “-1”, “-2”, “-3” if entering multiple QC/Unknown samples in one day.

Example:

Today’s date: 10/23/2017 extension to the filename field should be:

1st sample: 10232017-1

2nd sample: 10232017-2

Increment last value based on how many samples you login today, restart numbers on a new day from 1.

Filename prior to editing shows as default: PRALLOY_Unknown.txt

Filename after editing: PRALLOY_Unknown_10232017-1.txt

3. Identify Export File Data

  1. Type in SampleType as it's set-up in LIMS (this field will map to LIMS)
  2. Type in name of the user who performed and exported this analysis
  3. Press "OK"

4. Retrieving ICP Export in LIMS

Export frequency is set to 5 minutes.  This means you will not be able to see your file as soon as you press "OK" in previous step.  You will have to wait at maximum 5 minutes before your sample appears in LIMS.

4.1. Using specific search criteria

  1. Click on "Sample Manager"
  2. Click on "Find Sample (Work Orders)
  3. If you remember, use lot number (Sample Name) to type into this text box
  4. Press Sherlock button to execute search.

Smart Search text box can accept any of the following as a search criteria: Sampletype, lot number, sample ID.

  1. Click on "Sample Manager"
  2. Click on "Find Sample (Work Orders)
  3. Hold curser over "Star" icon
  4. Click on "ICP-OES Imports Altoona" search to execute

5. Review LIMS Import Records

Search results shows general information about the import sample like the Spec and SPC status.  When both are "PASS" the Sample Status will automatically approve itself and show a sample status of "A".

When one of the status fields show "FAIL", sample status will show "C" which means completed, but not validated, because it failed one of the specs.  These samples need further review and manual approval.

  1. Click the check box next to the lot# field of the sample you want to review
  2. Click the magnifying glass to open samples.
  3. Scroll through multiple samples by using navigation arrows at the top
  4. Expand the "Results" section to review results

Appendix I - For Information Only: Export Files Location

After export is completed in step 3 an export file is created on the ICP local PC in directory

C:\ICP Export Files

Program written by Jiqin Ma operating on a 5 minute frequency will pick up the file from the root folder on ICP computer and determine which import method to use for LIMS.  It will use the filename to see if export file should go to "PRALLOY" or "FERNOX" import folders.  Two methods are set-up so far called PRALLOY and FERNOX.  More methods can be configured in the future when necessary.  Once the file is processed it will be moved from root directory into the "Archive" folder

Importance of file name: first part of the file name will tell the program which import method to use.  Which is why it's important not to overwrite default as it will contain either "PRALLOY" or "FERNOX"

Appendix 2 - For Information Only: Lot Number Set-Up

Following Mapping is set-up with this process

When export sample type = Unknown, the "Sample Name" field is used as a lot number directly

When export sample type = QC, Export program will tag the date, without dashes to the "Sample Name" Field.

User does not have to do anything different.

  2. Automatically modified field: Takes the Sample Name field from ITEVA export and adds to it underscore symbol and date of the ICP run without separators.
