Creating a Powder Sample Type
Powder SampleTypes are unique and contain specific set-up in order to properly generate necessary pail and analytical samples. This procedure will describe steps needed to properly set-up a Powder SampleType
1.0 Log-In Screen
From Sharepoint site navigate to the Log-In Screen for Alent Asia or your appropriate location
- Enter your User Name and Password then click "Log In"
2.0 Creating a new Sample Type
- Hold your cursor over "Administration" Menu, a drop down menu will appear
- Hold your cursor over "Sample Types" a side menu will appear
- Click on "new"
3.0 SampletypeManager View
This is the SampleType Manager View. All cells highlighted in yellow will require an input before saving the record.
- Bulk Code is a unique product identifier from JDE. Please enter a bulk code. Note: if a bulk code entered here is already assigned to another sample type you will get an error.
- Product Name can be found in JDE
- Product Description can be found in JDE and is usually set to be the same as product name
- Class Powders should always have a "BK" class
- Owner is set up based on the site you chose in "My Profile". If site is set to all in "My Profile" this field will be empty, if site is set to a specific location, that locations 3-digit site Acronym will appear in this field automatically. It's important to have a site set-up to make sure data is stored properly in the database.
- To access additional sections of the SampleType Manager View click on the double arrows (each section is reviewed in the below sub steps)
4.0 Customer Specific Details Section - SampletypeManager view
Default COA template will load for the site selected.
Powders have a specific template and need to be changed from default:
- Click on the "COA"
- From the list populated select the powder specific CoA template by clicking on Select
- You will see the selected CoA template on the Customer Specific Details section window.
- Click on the save button to save this record.
5.0 Quality Management Module Section - SampletypeManager view
Fill out this section with any available information.
In the site where JDE/LIMS interface is set-up, the "Shelf Life" value will be automatically populated when the system synchronizes.
6.0 Methods Section - SampletypeManager view
This section will contain all the methods needed for data collection on the parameters for this sample type.
- To add new method click on the new button.
- Enter Method name and click on the search button (binoculars).
- Select appropriate method from the list by checking the check box on the left side.
- Click "Select" button to add method.
- The method will appear in the "Method" Section
- Type in appropriate "Test Class" (for powders allowable test classes are either "Pail" or "Analytical". See NOTE below.)
- This is an example of two methods, one with test class "Pail" and another with test class "Analytical"
- Save changes before moving on to the next step.
- Additional methods can be added by following steps 1-8 again.
NOTE: When powder sample type is used to create a sample it will require a Test Class. Automatic Sample log-in by camsizer will create a "Pail" test class and log in all the data automatically, but only parameters which are in the method with a test class "Pail" as you defined above. Manual data entry will require creation of "Analytical" Test Class and will only contain parameters which are in the method with a test class "Analytical".
7.0 Parameters and Limits Section - SampletypeManager view
Parameters which are part of the methods will be added in this section.
- Enter Customer Specs if available
- Enter Internal Specs if available
- Enter Target Value is available
- Enter number of values after the decimal point
- Enter units
- Enter "Print Flag" value. For print flag value of "1" the parameter will appear on the CoA, For print flag value of "0" the parameter will not appear on the CoA and will only be internal.
- Scrolling over right you can define what test method to use or type in the appropriate link to the document
- Enter Demand condition if the parameter is not quantitative. For example for specification on color where the passing spec is "light blue" enter that verbiage in the demand field, and word "Pass" in the Requested Result field. This means that when a laboratory technician enters a result of "light blue" the demand will be fulfilled and the CoA will display "Pass" for this parameter. If anything else is entered besides "light blue" the demand would not be fulfilled and will fail.
- Enter "Pass" which will show up on the CoA if the demand is met.
- For Test Class Pail, it is also very important to enter in the FP_Calc and Related_Value fields
- Enter in "AVG" into the column FP_CALC for every Pail parameters and "LOT" into the column RELATED_VALUE. This is required because multiple pail samples might be entered and need to be averaged for the Pseudo sample.
- Save your changes by pressing the save button
8.0 Saving and Approving newly created Sample Type
- Save all the settings on this main section page by clicking the save button. Note that the status is "N"
- Click on the "Approve" button (thumbs up) to approve the sample
- After the sample is approved you will see that the status is changed to "A"
- Instead of the "thumbs up" approve button you will see the "x" button which is used to take away the approval and put the sample on Hold.
NOTE: You will not be able to edit any item for the sample type if it has been approved. You would have to follow step 4 and take away approval, then make changes, save and approve again. However this is not the same thing as revising a sample type. When a change needs to be made which requires a revision in order to keep records you would follow a revision tutorial "Revising a Sample Type". You would only use the hold/edit approach if you accidentally forgot to add something when creating a new sample.
