Micron Excel CoA Process For Singapore
Customer specific request from Micron requires us to submit a formatted excel spreadsheet (BEIQC) to their facility that they can easily import into their incoming QC system.
To accommodate this request users must follow this process where a customer specific CoA is created in LIMS for Micron. A separate crystal report is run for an excel download of QC data from the customer specific CoA for efficient results transfer into BEIQC spreadsheet.
Step 1: Generic Sample - LIMS COA
In this step user will create a generic sample in LIMS, where they can log in analytical data specific to that sample. After sample is created it is approve and a generic CoA is created. This step must be completed before moving on to the next step.
1. Log in Generic Sample
- Hover cursor over "Sample Manager"
- Click on "Manual Sample Login"
- Define "Bulk Code"
- Define "Lot#"
- Define "MFG Date"
- Press Save button to create the sample record
Sample ID and Sample Status fields will automatically update when you save the record. Expiration date will automatically calculate based on the MFG Date field and the shelf life set-up for this bulk code.
Click on Bulk Code link to select from a list of approved bulk codes.
Click on MFG Date link to select a date from the calendar
2. Record Analytical Results
- Expand "Results" section
- Enter Analytical result for each parameter
- Press Save button
- Scroll to the next page if necessary
- Record results on the subsequent pages (when necessary)
- Pres Save button for every page of results
When results are below detection limit of 0.001, type in the actual value. After you press the save button LIMS will automatically apply the detection limit and update value to <0.001. This way you do not need to enter "<" symbol.
3. Approve Generic Sample
When all the results are entered LIMS will automatically apply appropriate status to the sample. It will validate all the results against specification limits and perform SPC validation. Status "C" or "V" designate completed samples and can be approved.
- Press the thumbs up button to approve sample
- Press Save button to assign "A" status
- Status automatically changes to "A"
- Refresh page by pressing binocular button to see the COA link
- CoA LINK appears (it might take LIMS a minute to create this CoA, so continue to refresh screen until you see the link)
This step created a Generic CoA version that is available to be shared with any customer. Next step is to create a customer specific version of this sample for Micron.
User cannot create a customer specific CoA without first creating and approving a generic one, because costumer specific sample will copy the analytical data from generic sample.
Step 2: Customer Specific Sample - LIMS COA
In this step a customer specific sample will be created directly from the generic sample created in Step 1. Navigate to the generic sample "Update Sample" screen
1. Generate CoA
- Hover cursor over "Eye glasses on paper" icon
- Make sure "Generate COA" radio button is selected (usually selected by default)
- Click "OK"
2. Define Customer/Order Specific Information
- Click on "Customer_ID" blue text to search for customer's ship-to number (if you know exact ship-to number you can also enter the value directly into text box, then skip to # 5)
- Type in part of the customer's name
- Press binoculars to search
- Press "Select" next to correct ship-to number
- Press "MKT_Synonym" to select packaging code
- Press "Select" next to the correct code
- Expand "Show Additional Fields" section (When information is available follow #8-11, when info is not available skip to #12)
- Enter PO number
- Enter Shipping Quantity
- Click on "Date of Shipment" link to select date from calender
- Review all the data is correct and then press "save" button.
After you click save button above, the CoA is formed. At the same time a notification email goes out to logistic team letting them know that they can now get an excel report for analytical data to copy it into the BEIQC spreadsheet.
Step 3: Excel Report for BEIQC Spreadsheet
In this step logistics team can run a crystal report from Singapore SharePoint site to extract excel spreadsheet of analytical data for a specific lot.
1. Get Sample ID and Report link from Notification Email

- Copy the link from notification email and paste it into the Internet Explorer web browser
- Use sample ID from notification email for the prompt
- Press Submit
LIMS V7 is only compatible with Internet Explorer browser with "Compatibility View" mode enabled.
2. Export Report to Excel
- Click on the export button
- Click on File Format drop down arrow and select "MS Excel 97-2000"
- Click "OK"
- Click on "Save" or "Save As"
- Click "Open"
- Once excel sheet opens you can select the Order/Info table, copy and paste it into the BEIQC spreadsheet.
- You can also select the "RESULTS" column, copy and paste it into the BEIQC spreadsheet.
When saving the excel sheet to your computer use the Sample ID, because it's unique to each sample created.
